As Eureka continues to grow, so does the need for systems that can support its ambitions. Behind member experiences, project operations, financial processes, and organisational decision-making lies a digital infrastructure that keeps everything connected and moving forward seamlessly.
At the centre of this work is the Data Management (DM) Circle, led by Wahid Dilawar Al Hakim.
For Wahid, the first half of 2026 marks an important transition for the team. Rather than focusing primarily on maintaining existing databases and systems, the DM Circle is now driving a major infrastructure development phase to prepare Eureka for long-term scalability. “This circle marks a transition from database maintenance to capital development,” Wahid explains.
At the heart of this transition is the development of a new Stacker-based Members Portal, a redesigned database architecture, and automated financial systems that will serve as Eureka’s digital backbone. Together, these initiatives are designed to support a growing membership base, decentralised payment systems, and stronger operational efficiency across the organisation.
From Maintaining Systems to Building the Future
For Wahid, the most meaningful part of leading the DM Circle is the opportunity to develop solutions to long-standing operational challenges. “The most meaningful aspect of this work is transitioning Eureka’s digital capabilities from a maintenance stage to a robust, next-generation infrastructure.”
Rather than patching legacy systems, the team is building new foundations from the ground up. This shift allows them to rethink how data flows through the organisation and how technology can better support members, teams, and leadership.
One of the cycle’s most significant technical achievements came while addressing limitations within the Stacker platform. After multiple unsuccessful workarounds, the team discovered a way to bypass Stacker’s conditional filtering limitations by leveraging internal data management views. “Successfully cracking the Stacker conditional logic issue for timesheets using internal data management views was one of the most rewarding contributions.”
The innovation enabled the use of native Stacker forms for timesheet management and unlocked new possibilities for workflow automation across the platform.
What Leadership Has Taught Him
Leading the DM Circle has reinforced an important lesson for Wahid: technology is only as effective as the clarity behind it.
As the team increasingly experimented with AI-assisted development tools, he discovered that successful implementation depended less on the technology itself than on how clearly the requirements were defined. “AI is incredibly helpful for prototyping, but it requires strict human fine-tuning and clear definitions to be truly effective.”
The experience highlighted the importance of modular thinking, clear requirements, and structured workflows when building systems designed to scale. Another lesson emerged from the team’s work on security and access management. “We realised that establishing three distinct access tiers in Bitwarden was far more effective than maintaining a complex, high-maintenance user structure.” What began as a security decision evolved into a broader design principle for the team: scalable systems should become simpler, not more complicated.
Building Systems That Enable Growth
Throughout the current cycle, the Data Management Circle has strengthened Eureka’s operational foundation through a series of strategic improvements.
Among the team’s key achievements are:
- Resolving critical Stacker platform limitations affecting conditional filtering and dynamic variables.
- Consolidating multiple Airtable project databases into a streamlined and more efficient architecture.
- Merging project, knowledge management, and project wrap-up systems into a unified structure.
- Eliminating duplicate fields and reducing database complexity to improve performance.
- Designing and implementing a structured Bitwarden access management system with Admin, Payment, and Management access levels.
- Restoring WordPress administrative access and improving website form management capabilities.
- Managing a dedicated capital development budget for infrastructure expansion.
Collectively, these achievements are helping transform Eureka into a more data-driven, efficient, and scalable organisation.
Supporting Eureka’s Broader Vision
Much of the DM Circle’s work happens behind the scenes, but its impact is felt across every part of Eureka. Wahid describes the team’s role as building the “digital backbone” that enables the organisation’s next phase of growth.
By creating cleaner databases, integrated financial systems, and automated workflows, the circle helps reduce operational friction across multiple teams.
Its work enables decentralised payment processing, strengthens Business Development through improved data visibility and AI-assisted opportunity prioritisation, and frees Circle Managers to spend more time on strategy, innovation, and leadership instead of administrative processes.
In many ways, the DM Circle creates the infrastructure that allows every other circle to operate more effectively.
Building a Better Member Experience
Looking ahead, Wahid is particularly excited about how the team’s work will improve the experience of Eureka members.
A major milestone will be the launch of the new Members Portal. On this centralised platform, members can access their profiles, monitor ECT balances, view invoices, update availability, and participate in the new Member Reference and Feedback System. “I hope this infrastructure results in a frictionless, intuitive digital experience for all Eureka members.”
The goal is simple: remove unnecessary complexity so members can spend less time navigating systems and more time collaborating, contributing, and creating impact.
As Eureka continues to evolve, the role of the Data Management Circle is becoming increasingly strategic. The focus is no longer simply maintaining systems; it is about designing infrastructure that enables growth, strengthens collaboration, and supports the organisation’s long-term vision. For Wahid, success will not be measured solely by the systems the team builds, but by how effectively those systems empower others to do their best work.
When members can connect seamlessly, access opportunities easily, and collaborate without unnecessary barriers, the infrastructure has done exactly what it was designed to do. That is the future the Data Management Circle is building, one where technology quietly empowers people, allowing Eureka to grow smarter, scale sustainably, and focus on creating meaningful impact.
